A 200-hour service interval is only useful when everyone agrees which hour meter controls it and the schedule moves forward from a trustworthy reading.

Choose one source of truth

Give every metered engine, generator, outboard, or hydraulic power unit its own equipment record. Store the current accepted reading there and identify the physical gauge that confirms it. Avoid maintaining competing “current” values in trip logs, spreadsheets, and maintenance notes.

If a vessel has replaced a meter, record the change and whether the new display starts at zero or carries the lifetime total. The maintenance history should preserve the reading used at each service even when the display later changes.

Set intervals from real guidance

Use manufacturer schedules as the starting point, then account for operating conditions and the vessel’s established maintenance practice. Separate jobs with different intervals. Oil, filters, impellers, coolant, valve checks, and belts should not become one oversized task merely because they happen together once.

Capture readings during normal work

Update readings at events people already perform: departure, arrival, fueling, shift handover, weekly checks, or trip closeout. Frequent small updates produce a better forecast than an occasional perfect inventory.

Show the age of the reading.

A reading of 1,657 hours means less if nobody knows whether it was entered this morning or six weeks ago. Recency helps the operator judge confidence in every upcoming task.

Complete the service from the correct reading

When work is finished, begin with the equipment’s current reading. Let the person completing the task correct it if the physical gauge is different. Save the completion date, actual hours, person, notes, and supporting files together.

  1. Confirm the physical meter.Use the actual display whenever it is available.
  2. Record completed work.Keep the service event in history instead of deleting the task.
  3. Update the equipment reading.The asset and completed record should agree.
  4. Advance the recurrence.Add the interval to the completion reading to establish the next due point.

Handle overdue work and corrections explicitly

If a task due at 1,500 hours is completed at 1,578, the next 200-hour service normally belongs at 1,778—not 1,700—unless the maintenance plan deliberately preserves a fixed cadence. Document that decision. Never hide an overdue service by editing the old due reading without a completion record.

If someone enters the wrong reading, correct both the equipment value and the affected completion record. Recalculate the next recurrence so the active schedule, equipment record, and history tell the same story.
